National celebration · Planning and guest management

A national celebration needs a recognizable theme and clear visitor instructions. Explain the program, location and registration requirements before people travel. For Saudi National Day or Founding Day, review the approved identity and program details with the responsible team. Use the event records to support arrivals while coordinating venue capacity and operations separately.

A practical way to begin

  1. Choose the page for your occasion, give it a clear name and select the language your guests will read first. Start with the included sections; you can refine the layout later.
  2. Add the confirmed date, venue and instructions. Keep the registration questions short. Use the relevant tools below for the program, guests, exhibitors or partnership work your event actually needs.
  3. Preview the page on a phone and a desktop, check every enabled language and save your changes. Publish when the details are ready, then share the event link and prepare the reception team with the same information.

Before you begin

Confirm the audience, timing, arrival instructions and the person responsible for guest questions before sharing the page.

Event websites and ready-made templates

Start with your event name, choose its type and select Essential, Editorial or Evening. Each design includes an introduction, event details, arrival guidance, a registration form and questions for guests. Dates and venues can be added when confirmed. The quick editor handles the essentials; Studio gives you individual pages, sections, images and navigation when you need more control.

Event registration forms and submissions

The ready-made page already connects its form to your event. Start with name and contact details, then add relevant fields such as organization or role in Studio. The submissions screen gathers responses, supports filtering and exports CSV for operational preparation. Keep required questions short: a long form asks guests to do more work before they even know whether they can attend.

Guest check-in and QR scanning

Check-in is the moment an invitation becomes a recorded visit. Use the event check-in screen to scan a guest pass or find the guest record and inspect the result before admitting the person. Prepare devices, permissions and the network before doors open. Give the team a separate route for uncertain records, duplicate scans and guests who cannot find their invitation, so one exception does not stop the main queue.

Outreach, follow-up and event tasks

Use the outreach workspace to keep activities and tasks alongside contacts and partner opportunities. Record the context, outcome and next action so work can continue across the team. This is useful when several people are coordinating exhibitors, sponsors or clients at once. A task is a work record: confirm the actual conversation and delivery separately rather than treating a planned activity as completed.

Questions before you start

Do I need to build the page from scratch?

No. Start with a complete ready-made design and edit the event essentials. Registration is connected to the event. Studio remains available for extra sections and individual layout changes.

Can the event page use more than one language?

Yes. The starters include English, Arabic, Spanish, French and German. Choose a main language and enable the editions your guests need. Review your own translated content before publishing.

Can I manage it myself or ask Rizi for support?

Use the platform with your own team, or discuss a White Glove proposal for invitation and guest-management support. Staffing, on-site responsibilities and optional services are agreed for your occasion.
