How to organize guest registration at an exhibition

Organizing guest registration starts before the doors open. Guests need clear event details, a simple way to respond and instructions they can find on arrival. The reception team needs one reliable list and a named person who can resolve exceptions.

Start with a clear registration page
Put the date, venue, entrance, arrival window and contact point together. Explain who may attend and whether registration is a request or a confirmed place. Ask only for information needed to organize the visit. A long form can create unnecessary work for guests and staff.
Read the page on a phone before sending it. Check the location link, confirmation message and text direction in every published language. If you change the venue or arrival time, update the event page and tell the affected guests through an appropriate channel.
Keep one guest list
Choose who owns the list and who can edit it. Separate invited, confirmed, declined and arrived guests. An RSVP is a planned response; check-in records arrival. Counting the two as the same produces an unreliable attendance report.

Make QR invitations useful
A QR invitation should accompany useful instructions: the guest’s name, event details, arrival time and a way to ask for help. Test the full journey with an authorized test guest, from invitation to scanning. Do not publish real guest passes in screenshots or social posts.
Agree what happens if a guest cannot find the message or the code is unreadable. A staffed assistance point can verify the registration and apply the organizer’s admission rules. Do not assume a forwarded invitation automatically authorizes another person to enter.
Prepare the reception team
Walk through the entrance before opening. Place signs where guests make decisions, keep routes accessible and avoid putting the help desk inside the main queue. Coordinate the arrangement with the venue and the responsible operations team.
- Assign an owner for scanning, guest questions and admission exceptions.
- Test devices, charging and the connection at the actual entrance.
- Agree a controlled fallback procedure for a connection problem; confirm which functions your chosen system supports offline.
- Rehearse a missing invitation, a duplicate scan and a guest arriving at the wrong entrance.
Review actual attendance
After the event, compare invitations, responses and recorded arrivals. Investigate discrepancies before treating them as no-shows. If multiple entrances or sessions were involved, state what the report counts and avoid adding repeat scans to a unique-person total.
Keep only the guest information needed for the agreed purpose and retention period. Collect operational notes separately: where questions repeated, which signs were missed and when help was needed. Those notes can improve the next event without exposing personal details.
