How to brief your event reception team

Prepare your reception team with clear roles, a QR check-in rehearsal, RSVP guidance and an exception handover before guests arrive.

A good reception briefing gives every person a clear answer to three questions: where do I work, what can I decide, and who helps when a guest needs an exception? Your registration page may be ready, but the arrival experience depends on the people using it. Prepare one short working sheet, walk the route together and rehearse real guest situations before doors open.

Start with the guest journey

Follow the route from the drop-off point to the correct room. Note the welcome position, QR check-in point and place for questions that need more time. A guest looking for a missing invitation should know where to go without needing to explain the problem repeatedly. Use the same entrance names on invitations, signs and the team sheet.

Give each task an owner

Separate welcoming, scanning and exception decisions, even if a small team shares those tasks. Write a person's name beside each responsibility and identify the relief arrangement for breaks. The person scanning should know whether they may correct a spelling or must ask a supervisor. Agree who may approve an unexpected guest; friendliness alone is not an access policy.

Your working sheet can contain:

  • Opening time, entrance name and the current instruction version.
  • Welcome, scanning and help-desk assignments.
  • The person authorized to approve changes.
  • A contact method and fallback contact if the first person is unavailable.
  • The handover time and place for unresolved questions.

Demonstrate RSVP and arrival separately

Show a test guest who has confirmed attendance but has not arrived. Then scan a test invitation and show the arrival record. An RSVP is an intended attendance response; check-in records arrival. Staff should read the actual result on the screen before welcoming the next guest. Do not treat a saved QR image as proof that every entrance or guest category is allowed.

Rehearse three difficult arrivals

Try a guest who cannot find the invitation, a QR code that was already used, and someone requesting an additional companion. Let the team describe its next action in each case. A sensible handover includes the issue and the person handling it, without announcing private guest information across the queue. If the system is unavailable, use the organizer's agreed fallback and reconciliation process; never assume a scan has been saved.

Choose the support you need

Close the shift with a useful handover

Record unresolved cases, approved additions and any arrivals captured through the fallback process. Reconcile these with the guest list before preparing the attendance summary. Ask the team which instruction caused confusion, then improve that line for the next occasion. The best briefing becomes more useful after every event because it reflects what guests and reception staff actually needed.
