Company event · Planning and guest management

A company event may bring employees, clients and partners into the same room with different expectations. Explain the purpose and tailor the guest information to the audience. Connect the program, registration and internal coordination so the organizing team has a clear working view. Keep confidential arrangements in the workspace rather than the public event page.

A practical way to begin

  1. Choose the page for your occasion, give it a clear name and select the language your guests will read first. Start with the included sections; you can refine the layout later.
  2. Add the confirmed date, venue and instructions. Keep the registration questions short. Use the relevant tools below for the program, guests, exhibitors or partnership work your event actually needs.
  3. Preview the page on a phone and a desktop, check every enabled language and save your changes. Publish when the details are ready, then share the event link and prepare the reception team with the same information.

Before you begin

Confirm the audience, timing, arrival instructions and the person responsible for guest questions before sharing the page.

Guest lists and RSVP management

A guest list is the working record behind reception. Use it to find a person, inspect their details and prepare the right arrival instructions. RSVP describes an intention to attend; check-in records arrival. Keeping those stages distinct helps your team plan capacity and understand what happened after the event. Imported lists and new registrations need a consistent approach to names and contact details.

Event agendas and speaker profiles

Keep session information and speaker profiles in the event workspace, then present the program clearly on your event site. A useful agenda includes the session name, timing and location, with enough context to help guests choose. Speaker introductions should explain the person’s connection to the subject. Review any manually authored page elements when the operational schedule changes so the published information stays consistent.

Client context in one event workspace

Open a client workspace from the event’s contact records to review the account in context. Connected information helps the organizing team understand the relationship without jumping between disconnected notes. Use it alongside opportunities, packages, documents and follow-up. This is an organizer workspace for coordination; grant access through the platform’s existing roles and keep client-facing communication deliberate.

Event expenses and financial visibility

Use the expenses workspace to record event costs and support the team’s financial review. Consistent descriptions and up-to-date records make handover easier than scattered notes. Read expense information alongside quotations and invoices where relevant, while keeping promised income, issued documents and actual payments distinct. Rizi’s event records support coordination; your accounting process remains the source for formal reconciliation.

Online RSVP and attendance confirmation

Know who plans to attend before the doors open. An online RSVP gives guests a clear invitation and a simple response journey, while your team prepares from recorded registrations and confirmations. In Rizi, start with a ready-made event page and its registration form, or use attendance-confirmation links in a configured invitation workflow. Keep the response deadline and a contact for changes visible. Review the guest record before using a confirmation for reception planning.

No. Start with a complete ready-made design and edit the event essentials. Registration is connected to the event. Studio remains available for extra sections and individual layout changes.

Can the event page use more than one language?

Yes. The starters include English, Arabic, Spanish, French and German. Choose a main language and enable the editions your guests need. Review your own translated content before publishing.

Can I manage it myself or ask Rizi for support?

Use the platform with your own team, or discuss a White Glove proposal for invitation and guest-management support. Staffing, on-site responsibilities and optional services are agreed for your occasion.
