Before you begin

Decide who may attend, whether companions need separate records, when responses are due and who handles changes. Use the same names and contact details across the invitation list and guest records. A message being delivered or opened is not an RSVP.

What does RSVP mean on an invitation?

RSVP comes from the French “Répondez s’il vous plaît”: please respond. In an event invitation, it asks the guest to tell the host whether they plan to attend. “RSVP by 15 October” is a response deadline, not the event date. Include both dates clearly so guests can make a decision without searching through messages.

Online RSVP, attendance confirmation and invitation response describe closely related needs. Event registration collects the guest’s details; an RSVP records a response to an invitation; check-in records their arrival. Use the right stage when reporting your guest numbers, rather than treating invitations sent as people attending.

How to create a simple RSVP form

Choose the event type and a complete Rizi template, then add the invitation details. Keep the form focused on a name, a useful contact and information the team actually needs. If organization or role matters, add the relevant fields in Studio. Explain how guests should tell you about a companion or a change of plans. Do not ask them to repeat information already available in their invitation.

Preview the invitation, form labels and confirmation message on a phone. For an international guest list, enable the required language editions and review the event text in each one. Rizi supports English, Arabic, Spanish, French and German, including right-to-left Arabic. Share the published page after the date, venue and response instructions are ready.

Follow up on invitations without confusing the numbers

Review which guest records are registered, confirmed or already checked in. In the supported invitation-confirmation workflow, a confirmation link can mark the invitation as confirmed and update a registered guest to confirmed. It does not mark them as physically present. Agree who follows up when a response is still missing, and avoid sending the same reminder from several team members.

If someone cannot attend, provide a contact for cancellation or changes so the team can keep the record current. An unanswered invitation is not a confirmed decline. Email and messaging delivery depend on the connected provider and supported channel. For a wedding or family occasion, explain how families and companions should respond and where to ask about arrival arrangements. Prepare devices, permissions and the network before doors open. Give the team a separate route for uncertain records, duplicate scans and guests who cannot find their invitation, so one exception does not stop the main queue.

Questions before you start

Is RSVP the same as event registration?

They can be part of the same journey, but they answer different questions. Registration captures details; RSVP confirms an intention to attend. Decide whether guests need a registration form or a confirmation of an existing invitation.

Does confirming an invitation check the guest in?

No. Confirmation happens before arrival. QR check-in is a separate reception action that records arrival at the event.

Can guests RSVP in Arabic or another language?

Rizi supports English, Arabic, Spanish, French and German event editions. Select the main language, enable additional editions and review the invitation and response instructions in each language.

How should I handle a cancellation or no response?

Publish a contact for changes and assign someone to keep guest records current. Follow up through the agreed channel when needed. Do not count silence as a confirmed decline or a sent invitation as acceptance.
